Kstar Studios Terms & Conditions 2026

1. Class Operations

1.1 Classes generally operate during Victorian school terms and do not run on public holidays unless otherwise advised.
1.2 KSTAR Studios reserves the right to amend class times, timetables, teachers, rooms, or studio locations where required.
1.3 Enrolments are limited and allocated on a first-come, first-served basis

2. Attendance, Missed Classes & Absences

2.1 Attendance is the responsibility of the participant.
2.2 Missed classes are not eligible for refunds or credits, regardless of reason.
2.3 Make-up classes are not guaranteed and may be granted only at the discretion of KSTAR Studios management.
2.4 Where approved, make-up classes are subject to:

  • Space availability

  • Appropriate class level

  • Studio capacity

2.5 Families must notify KSTAR Studios via email if they are aware of any upcoming absences.

3. Studio Cancellations

3.1 KSTAR Studios reserves the right to cancel or reschedule classes due to:

  • Teacher illness or unavailability

  • Studio maintenance

  • Low enrolment numbers

  • Unforeseen or emergency circumstances

3.2 Where a class is cancelled by KSTAR Studios, a make-up class or studio credit may be offered at management’s discretion.

4. Trial Classes

4.1 Trial classes are offered free of charge for new students only.
4.2 One free trial per dancer is permitted.
4.3 Trial participation is subject to class availability and suitability.

5. Withdrawals & Notice Period

5.1 If a participant chooses to withdraw from classes, KSTAR Studios must be notified both in person and in writing via email.
5.2 A minimum of two (2) weeks’ notice is required prior to leaving.
5.3 Failure to provide sufficient notice may result in fees being charged for the notice period.

6. Competition Crews – Commitment Policy

6.1 Students enrolled in competition crews are required to commit to the full calendar year.
6.2 Withdrawals from competition crews are not permitted once the year has commenced.
6.3 This policy ensures consistency, fairness, and team integrity across all competition teams.

7. Payments & Fees

7.1 Payment Method

7.1.1 Autopay via the StudioLAB parent portal is the standard payment method for all families enrolling at KSTAR Studios.
7.1.2 Families must activate Autopay to confirm and maintain enrolment. Participation may be suspended until Autopay is successfully set up.
7.1.3 Alternative payment arrangements may be approved at the discretion of the Studio Director and must be confirmed in writing prior to commencement.
7.1.4 KSTAR Studios reserves the right to revoke alternative arrangements and require a return to Autopay.

7.2 Payment Processing & Fees

7.2.1 Payments are securely processed through Stripe, a third-party, PCI-compliant provider.
7.2.2 KSTAR Studios does not store or retain card or bank details.
7.2.3 Stripe processing fees are automatically added and are non-refundable.

7.3 Payment Terms

7.3.1 All fees are payable from the first week of term, regardless of attendance.
7.3.2 Fees will not be adjusted for illness, school events, personal commitments, or other short-term absences.
7.3.3 Enrolments are ongoing by default unless withdrawal notice is provided in accordance with Section 5.

7.4 Holiday Absences & Payment Pauses

7.4.1 Families must notify KSTAR Studios via email in advance of extended holidays.
7.4.2 Holiday payment pauses do not apply to competition crews unless approved by management.

7.5 Late Payments

7.5.1 Late payments may incur a 4% late fee.
7.5.2 Accounts overdue by more than 30 days may incur an additional 4% fee.
7.5.3 Participation may be suspended for unpaid accounts.

7.6 Payment Recovery

7.6.1 KSTAR Studios reserves the right to:

  • Engage debt recovery agencies

  • Recover all collection costs

  • Pursue legal action

7.6.2 Recovery costs are payable by the debtor in addition to the outstanding balance.

7.7 Refunds & Credits

7.7.1 Refunds are assessed case by case and are not guaranteed.
7.7.2 Studio credit may be issued in place of a cash refund.
7.7.3 Credits are non-transferable unless approved by management.

7.8 CAP Payment Terms

7.8.1 Students enrolled in a CAP (Capped Weekly Pricing) package must adhere to all CAP-specific terms and conditions.
7.8.2 CAP payments are charged weekly via Autopay and require Autopay to remain active at all times.
7.8.3 CAP fees are calculated by week within a term, not by individual class days attended.
7.8.4 CAP pricing includes all scheduled weeks within the term, including weeks that fall on public holidays, regardless of attendance.
7.8.5 No refunds, credits, or fee adjustments apply to CAP payments for missed classes, absences, or public holidays.
7.8.6 Failure to maintain consistent weekly CAP payments may result in the account being reviewed and the student being transitioned to an alternative fee structure at the discretion of KSTAR Studios.

8. Injury & Medical Credits

8.1 Credits may be considered for injury or illness with a valid medical certificate.
8.2 Credits must be used in the following term.
8.3 Remaining classes may be transferred to an immediate family member with approval.

9. Class Numbers

9.1 Each class has a minimum and maximum capacity.
9.2 Classes may be cancelled or adjusted if minimum numbers are not met.
9.3 If no suitable alternative is available, a refund or credit will be issued.

10. Supervision & Duty of Care

10.1 Duty of care applies only during scheduled class times.
10.2 Parents/guardians are responsible for timely drop-off and pick-up.
10.3 If under 18, a parent/guardian is responsible for drop-off and pick-up at the studio.
10.4 Parents are permitted inside the studio for preschool or mini’s classes only. Parents must remain in the foyer/lounge area. For all other classes, parents may be invited to observe during the final 5–10 minutes.
10.5 Drop-off and pick-up is preferred.

11. Dress Code & Studio Etiquette

11.1 Students must wear KSTAR uniform to class, including:

  • KSTAR t-shirt and/or hoodie

  • Black or neutral-coloured bottoms

11.2 Appropriate footwear must be worn at all times. Sandals, crocs, slippers, boots, and UGGs are not permitted.
11.3 No food or gum is permitted inside the dance studios.

12. Parking & Facilities

12.1 Parking is permitted only in designated complex parking bays.
12.2 Parking in front of warehouse roller doors is strictly prohibited.
12.3 All families must respect neighbouring warehouses and shared spaces.

13. Photography, Video & Social Media Consent

13.1 By enrolling, you consent to KSTAR Studios photographing and filming classes and events.
13.2 Content may be used on social media, websites, and promotional materials.
13.3 Written notice must be provided if consent is not granted.

14. Communications

14.1 Primary communication will be via email.
14.2 Community notices may be shared via WhatsApp Community.

15. Child Safety Commitment

15.1 KSTAR Studios complies with the Victorian Child Safe Standards.
15.2 All staff hold valid Working With Children Checks.
15.3 Any concerns should be reported immediately and will be treated confidentially.

16. Medical & Health

16.1 Medical conditions and injuries must be disclosed upon enrolment.
16.2 Students requiring asthma preventers must have them administered by a guardian prior to class.
16.3 Preventers will not be administered by staff except in an emergency.
16.4 Asthma pumps must be labelled with an action plan and given to the teacher for junior students (U12).
16.5 A guardian must remain on-site if the student cannot administer medication independently.
16.6 KSTAR Studios will notify the primary contact if medical attention was required.

17. Behaviour & Code of Conduct

KSTAR Studios is committed to maintaining a safe, inclusive, and welcoming environment for all students, families, and staff. Harassment, bullying, discrimination, or intimidation of any kind-whether in person or online, will not be tolerated. This includes behaviour across social media, messaging platforms, and digital communication. Any actions that cause others to feel unsafe, disrespected, or excluded may result in disciplinary action, including removal from classes.

Dancers Agree To:

  • Attend classes punctually

  • Treat others with respect

  • Use appropriate language

Parents/Guardians Agree To:

  • Communicate respectfully

  • Raise concerns privately

17.1 Zero tolerance applies to bullying, harassment, or abuse.

18. Property & Facilities

18.1 Personal belongings are the responsibility of the participant.
18.2 KSTAR Studios is not liable for lost or damaged items.
18.3 Damage to studio property may be charged.
18.4 Security cameras operate in selected areas.

19. Entry Rights

19.1 KSTAR Studios reserves the right to refuse entry or remove any person engaging in unsafe or inappropriate behaviour.

20. Release, Waiver & Indemnity

20.1 Participation involves inherent risk.
20.2 Participants release and indemnify KSTAR Studios from all claims arising from participation.
20.3 This indemnity applies indefinitely.

21. Privacy Policy

21.1 Personal information is used solely for studio operations and protected by law.

22. Agreement

By enrolling online or in person, you confirm that you have read, understood, and agreed to these Terms & Conditions in full.
